I have an accountant who files my taxes. Do I need a bookkeeper, too?

We are experts in bookkeeping. However, we leave the taxes to our Accountant and CPA partners. Bookkeeping and accounting are two different, yet crucial pieces of your business financials. I’ll use an analogy to demonstrate what I mean. Let’s take a nurse and a doctor, for example. A good accountant will take the data and information that we compile to file your taxes, support your business with a tax strategy, and visit you a few times each year. This is similar to how a doctor may visit with you once a day during a hospital stay. During that same hospital stay, you may lose count of how many times a nurse is in and out of your room, constantly tending to your needs and making necessary adjustments to your care. This is similar to your relationship with your bookkeeper. Bookkeeping professionals work with you throughout the year to ensure accurate financials and provide actionable guidance so that you can make informed decisions throughout the year. This adds a lot of decision making power to your business that you would not otherwise have by viewing yearly financials from your CPA.

To avoid sending sensitive data via unsecured email, we provide a link to a secure folder for our clients to send us information. We understand how important it is to have trust in the company you hire to manage your private financial information. The privacy of our clients is our top priority, and any data we can access will be secured using a server with 256-bit Advanced Encryption Standard (AES). All passwords we use are strong and unique, and we utilize two-step verification wherever possible.

What software or tools do you use for bookkeeping?

We utilize QuickBooks Online as our core accounting software and can integrate other tools or apps based on the need of our clients’ businesses. We do not offer management of other accounting software at this time.

How fast will you answer my questions and concerns?

Our standard response time is within 1 business day via email, but we strive to respond same day. Our vision is to be a part of your team and to help you succeed! You can always give us a call or send a text when you need us. You never have to worry about incurring extra fees for picking up the phone. Our job is to support you!

What is the timeline for delivering financial reports or statements?

Reviewing financial reports on a regular, timely basis is key to being proactive in your business. To support you in this, we set a date each month with our clients to review financials together via zoom. If time does not allow for a monthly meeting and you need to meet periodically instead, we will still deliver your financial statements by this date each month.

Shouldn't my bookkeeper be local to me?

Working with a bookkeeper who specializes in your industry is one of the best outcomes for business owners in the digital age! With the help of zoom and cloud-based technology, you no longer need to work with the closest bookkeeper to you. Instead, you can get tailored support designed with your unique industry and business model in mind. That’s the kind of support that we provide here at Coal Creek Ledgers.

How much do your services cost?

How do you bill your services?

We bill a flat fee for monthly services and quote one-time projects on a case by case basis.

If I outsource my books to you, can I be completely hands off?

No. Though we will undoubtedly save you hours of time each month by taking care of your books, we still need your support to ensure that all of your transactions are categorized correctly. In the initial stages, we will need your support with getting your books caught up and cleaned up so that we can begin with your new, streamlined bookkeeping process. As we continue to work together, we may need you to provide supplemental documentation of your transactions or ask you to clarify certain transactions at times. We do not accept any kind of authorizing power over your finances and believe that this power should rest solely with the business owner.
